Imagine you’re excited to be on your way to the Philippines from JFK with a connection in Doha, and your flight is significantly delayed or canceled completely. Not only does your travel schedule take a hit, but it’s likely your wallet will, too.

Although the travel impact can’t be prevented in real-time, Qatar Airways reimbursement is possible to cover the out-of-pocket expenses you incur while waiting for your existing or replacement flight. We’ll go through all the reimbursement guidelines, how to submit a successful request, and how to dispute refusals.

Who Can Request a Qatar Reimbursement & When

US passengers who experience a flight cancellation (the most common) or a long delay may be eligible for Qatar Airways reimbursement if:

  • The disruption was within the airline’s control, such as staffing issues/strikes and aircraft malfunctions. When the disruption isn’t within Qatar’s control, such as weather or airport operational issues, reimbursement is not owed.
  • You had to purchase essentials during the interruption to stay comfortable and have receipts to back them up.

Note that there is no specific minimum delay time stated by Qatar Airways, but reimbursement is possible if the airline fails to operate a flight reasonably according to schedule.

What Expenses Can Be Reimbursed?

Not all expenses are eligible for a Qatar reimbursement, and whatever you buy, the cost must be reasonable. That means no luxury hotels or fine dining – stick to mid-range and more budget-friendly alternatives. These are the permitted categories:

  • Food and non-alcoholic drinks
  • Hotels or other accommodation types when there’s an overnight delay, and you’re away from home.
  • Transportation to and from the hotel/airport.
  • Basic toiletries and clothing in the event your baggage is delayed (also away from home).

And whatever you do, make sure you have the associated receipts:

Qatar Airways Refund Policy

For clarity, it’s important to note that reimbursement and refunds are completely differentRefunds are for unused flight tickets, and reimbursement is to get your money back for interim expenses. 

In the case of a significant disruption, US passengers have the option not to continue traveling. As per the Qatar refund policy, you can get your money back if the airline cancels or fails to operate reasonably according to schedule.

Once you choose a refund, the option for reimbursement of expenses ceases.

What to Upload – Required Documents

You want as much proof as possible to substantiate your Qatar Airways reimbursement claim. Here’s what you’ll need:

☑ Every receipt. It must be detailed with the purchase itemized. Screenshots from apps like Airbnb or Uber can also usually be used.
☑ Interruption proof, typically in the form of a Qatar email or text.
☑ Your boarding pass or itinerary and booking reference.
☑ A summary timeline of what happened

For example, “I flew from New York JFK to Mumbai with a connection in Doha on December 1. My initial flight from JFK to DOH was delayed by 6.5 hours, causing me to miss my connection to MOB. I spent $45 on meals, $30 on ground transfers, and $145 on a hotel because no vouchers were offered. Please reimburse me for $220.”

How to File a Reimbursement Request with Qatar Airways

There is no official Qatar reimbursement form available online, so to submit your request, you’ll need to use the general feedback form.

  1. Got to the Feedback form.
  2. Enter your booking reference and last name.
  3. Select Complaint.
  4. Provide your contact details.
  5. Choose the topic of “My departure from the airport.”
  6. Summarize the events in the provided text box.
  7. Upload all your receipts. 
  8. Check the box to acknowledge the privacy policy.
  9. Click Submit.

Alternatively, you can use the live chat function to speak with an agent and submit your request. They’ll guide you on all the next steps.

In general, Qatar Airways processes reimbursement requests in 2 to 5 weeks. If you haven’t heard anything in 30 days, it’s time to follow up.

What To Do When Qatar Airways Offers Vouchers or Hotels

Whenever you’re offered a voucher for transportation or meals, or a pre-booked hotel, take it. Most of the time, you won’t need to go through a Qatar Airways reimbursement because the gate agents will handle the arrangements.

If you refuse a voucher or other care during the delay, it will be very tricky to get reimbursement, unless you can prove why the options provided were unacceptable.

Airline Defences and Your Counter-Evidence

Qatar Airways may refuse your reimbursement, but don’t give up. These are the most common excuses given and how to dispute them to save your claim:

  • “We were not at fault.” It’s easy for any airline to say that the disruption was caused by weather or something else outside their control. If you think they’re wrong, provide proof. Look for other flights on any airline at the same time and route to see if they were operating uninterrupted.
  • “Your receipts are missing or unclear.” When receipts don’t detail individual items or the expense descriptions are misleading, your Qatar reimbursement request could be denied. Re-submit with an explanation of each item, or request merchant reprints for missing receipts.
  • “You spent too much.” If your expenses skew more high-end, Qatar could opt to issue only a partial reimbursement. To dispute, explain why the options you chose were the only ones available or appropriate.
  • “It wasn’t us.” This is a confusing one. If Qatar says they didn’t actually operate the flight, they might be right. With codeshares, the flight might be flown by a Qatar Airways partner like American Airlines. If that’s true, file your request with the correct airline instead.
  • “We provided vouchers.” Another reason reimbursement might be refused is if Qatar Airways had vouchers available, but you didn’t use them. You’ll need to explain why, which could be that you weren’t advised, the accommodation was too far away, or the food didn’t meet your dietary requirements.

Real Examples of Qatar Airways Reimbursements

It always helps to know that others have been successful with Qatar reimbursement, so here are a couple of scenarios to prove it’s possible.

Scenario 1 – Missed Connecting Flight

Route: Los Angeles (LAX) to Doha (DOH) to Johannesburg (JNB)

The flight from LAX to DOH, flight QR 740, was delayed by 5.5 hours due to an aircraft technical problem. This delay caused the passenger to miss the onward flight to JNB. The passenger had to stay overnight in Doha (not their home). They successfully claimed:

  • $101 for a self-booked hotel
  • $45 for taxi rides to and from the hotel
  • $35 for dinner

It took 24 days for the passenger to receive the full Qatar reimbursement of $181.

Scenario 2 – Canceled Flight

Route: Chicago O’Hare (ORD) to Doha (DOH)

A family of 3 was scheduled to depart on flight QR 726 from Chicago to Doha at 6:50 pm. This flight was canceled due to crew shortages. The only available replacement flight departed with Qatar Airways at the same time the following day. The family lives in Seattle, so they incurred disruption-related costs:

  • $120 for meals
  • $198 for a one-night hotel stay
  • $46 for Uber rides

In 21 days, the family received a total of $364 – the full amount.
