Who Can Request an Air New Zealand Reimbursement & When

When Air New Zealand passengers experience overnight delays, including those due to flight cancellations, expenses are eligible for reimbursement if they meet certain conditions:

  1. The disruption is within Air New Zealand’s control.

    This includes things like airline staff strikes and aircraft issues.

    Causes outside Air New Zealand’s control, such as weather or Air Traffic control restrictions, usually mean reimbursement is not possible.
  2. The delay or cancellation occurred while you’re away from home.
  3. The expenses are reasonable and directly related to the flight interruption.
  4. Your luggage was delayed away from home for at least 24 hours.
  5. You have itemized tax invoice receipts for every purchase you’re claiming.

What Counts as a Valid Expense? 

We mentioned that your Air New Zealand reimbursement expenses need to be reasonable, and the airline specifies the reasonable guidelines:

  • Up to NZ$90 (approximately US$51) per person per day for meals.
  • Up to NZ$250 (approximately US$142) per room for accommodation.
  • Ground transportation between the hotel and the airport.
  • A phone call to inform your friends or family that you’re delayed.

To make sure you have what you need when it comes time to request reimbursement, this is what you should always keep handy:

  • Receipts for all your disruption-related expenses. Aim for clear invoices showing the date, the amount, and a description of the individual items if applicable.
  • Proof of the delay or cancellation from Air New Zealand. Typically, this is an email or text message from the airline.
  • Your itinerary to see your booking reference number and your boarding pass.
  • A brief description of what happened and the associated expenses.

For example, “I was scheduled to return home on flight NZ 6 from Auckland to Los Angeles. Originally, the flight was supposed to depart at 8:10 pm. How to File a Reimbursement Request with Air New Zealand

Air New Zealand does not have a form specifically for reimbursement requests. Passengers should use the general feedback form.

  1. Click on Submit a Reimbursement Claim.

  2. Make sure the form indicates your request is about a delayed, disrupted, or rescheduled flight and that you have already flown.

  3. Enter your personal details.

  4. Click the box to indicate you are requesting “disrupt reimbursement compensation.”
  5. Add the timeline of events and expense summary in the supporting details box.
  6. Upload your supporting documents (receipts). The maximum is 5.
  7. Click Submit.

You can generally expect to get your Air New Zealand reimbursement in 2 to 5 weeks. If the info is missing, hard to read, or the case is complicated, it can take even longer.

Vouchers vs. Self-Booking – What to Do

When you run into an interruption within Air New Zealand’s control, usually, they will first try to book or provide a voucher for your overnight stay in a partner hotel. They may also provide vouchers for meals.

Whenever vouchers or pre-paid bookings are offered, it’s always best to take them. If you don’t, you’ll have to justify why you paid out of pocket when an alternative was available. As a general rule, you should only self-book when you can’t get pre-paid items from the staff at the airport, or you can’t reach the Air New Zealand customer service department for assistance/confirmation. And if you’re asked to pay for things and submit for expenses later, try to get that request in writing if possible.

What You Should Do

The interruption was caused by the weather.

Check if other airlines were able to operate a similar route on the same day/time. If so, the weather shouldn’t be used as an excuse. Provide proof that other, similar flights arrived on time.

Your receipts are not itemized or are missing.

If you only have the credit card charge slip, the claim reimbursement request could be refused. Contact the merchant to see if they can send an itemized re-print. You can also use screenshots for accommodation and transport from sites like Airbnb and Uber.

Your connecting flights were purchased separately.

If you miss a connecting flight that’s on a separate booking, provide proof that Air New Zealand caused the delay. Supply your other airline booking reference and a clear timeline.

You chose a luxury hotel.

Sometimes accommodation is hard to find. If you had no choice but to book something more expensive due to a lack of availability, provide whatever proof you can. Explain it was the busy Christmas season, spring break, etc. As a last resort, ask for a partial reimbursement up to the maximum of NZ$250.

We didn’t fly this route.

If you buy your ticket through Air New Zealand, you’d expect them to be the operating airline, right? That’s not always the case because codeshares are common. Maybe it was another Star Alliance member. In that case, start a reimbursement claim with the operating airline instead.

Example 1 – Overnight Delay

A passenger returning home to San Francisco from Auckland on flight NZ 9816 had their flight delayed overnight due to mechanical issues. No Air New Zealand accommodation or vouchers were possible, so the passenger booked their own hotel and transportation and paid for dinner and breakfast out of pocket. They received an Air New Zealand reimbursement of US$167 (NZ$296) 24 days after the request was submitted using the feedback form:

  • Hotel – $110 (NZ$195)
  • Meals – $41 (NZ$73)
  • Transportation via Uber – $16 (NZ$28)

Example 2 – Missed Travel

Flight NZ 10 from Auckland to Honolulu was unexpectedly canceled. A family of 4 re-booked the following day, but had to stay overnight in Auckland. Auckland was not their home. As a result of the travel delay, they missed their cruise connection. Air New Zealand does not reimburse for missed excursions, cruises, transportation, or attractions. The family was able to request reimbursement for their hotel, ground transportation to/from the airport, and meals only. Within 21 days, they received US$311 (NZ$550) for the incurred expenses.

Additional Potential Protections for Air New Zealand Passengers

The Montreal Convention

All international Air New Zealand flights are covered by the Montreal Convention. They use Special Drawing Rights (SDR) to calculate the maximum expense amount. In total, it’s up to US$8,900 (SDR 6,303). Also, for mishandled luggage, there is protection for up to US$2,080 (SDR 1,519).

Civil Aviation Act 1990 (CAA 1990)

This legislation protects passengers on domestic flights in New Zealand. Domestic flight disruptions that require expenses like hotels and meals when the airline is at fault for the delay or cancellation are covered. The maximum coverage is 10 times the cost of your ticket.

Credit Card and Travel Insurance

You may also have flight disruption coverage as part of your travel insurance or the credit card used to buy your flight. Check with them ASAP to verify your coverage and initiate a request, as the filing deadlines can be tight.

Air New Zealand Refunds

In addition to the reimbursement of expenses, an Air New Zealand refund is possible when your flight to or from the US is significantly changed. Significantly changed means your flight departure time is changed or delayed by 6 hours or more, or canceled. You have the choice to continue traveling or cancel your booking and get your money back.
