Whatever the reason your flight is delayed or canceled, it’s going to be disruptive. You’re either stuck without a flight at all or stuck at the airport waiting it out. But one thing that can make things a little better is knowing when and how to get your money back for everything from hotels to meals to transportation.

When You Can Request a United Airlines Reimbursement

Reimbursement is not guaranteed – it will depend on what you can prove and the airline’s discretion. But there are a few scenarios where you can make a United reimbursement request. But in all reimbursement cases, you must have spent your own money on unforeseen expenses and have proof of the purchase. The most common reimbursement-eligible situations include:

  • Cancelled flights, especially on very short notice
  • Missed connections due to a disruption
  • Overnight delays
  • Replacement flights that differ significantly from the original

What’s a Valid Expense?

United Airlines reimbursement is typically only possible when the cause of the flight interruption was in the airline’s control to prevent. Plus, for most, you’re only eligible when you’re at an airport away from home.

In many cases, United will issue vouchers for these items, but if none are provided, these are the items to claim for:

  • Accommodation costs – Assuming your new flight doesn’t leave until the next day, you can fill out a United Airlines reimbursement claim form for your hotel fees.
  • Refreshments – Namely meals, drinks, and snacks, United will cover these costs while you’re stuck waiting for the flight. 
  • Transportation – If no free shuttle is offered by the hotel, you can also get a voucher (or claim reimbursement) for a reasonable cost to get back and forth to the accommodation.

Delayed Luggage

In the event your luggage is delayed by United and you’re also away from home, you can claim essentials to get you through. This includes:

  • Basic clothing
  • Essential toiletries

Documentation You Need to Provide for United Reimbursements

In the rare case where you’re not given a voucher for the abovementioned items, you’ll need to prove your expenses to United to get any money back. Make sure you can upload:

  • Your boarding pass and booking email.
  • Proof of the interruption, which might be an alert by email or text message.
  • The detailed receipts for all your purchases, including hotels, clothing, meals, and taxi fares. 
  • Screenshots or booking confirmations are also accepted, which you can look up in most apps.
  • A description of each item on the receipts so that United can confirm it’s directly related to the interruption.
  • A timeline summary of what you experienced, such as “My United flight from Laguardia to Chicago O’Hare was supposed to depart at 8:15 pm. We were notified that it was canceled at 6:30 pm. The replacement flight left New York at 7:15 am the next day. In total, we arrived 11 hours late.”

How to File a Reimbursement Request with United Airlines

To send in your receipts and get expense reimbursement, you’ll need to fill out the general Customer Care form. Alternatively, you can use your MileagePlus account to log in and save yourself a little time filling out your flight and personal details.

  • In the Submit a request tab, indicate whether it’s for just yourself, others, or yourself and others.
  • Choose “Complaint.”
  • Choose “Reimbursement” for the reason.
  • In the About section, choose “Flight disruption expenses.”
  • Add the trip to your request and follow the steps to attach receipts and summarize your experience. For example, flight UA 316 from Dublin to Newark was canceled. The only available replacement, flight UA 22, departed the following morning at 9:30 am.

How to Deal with Hotels and Vouchers Provided by United

The rule of thumb is: always accept and use the voucher, transportation, or accommodation United offers. If you decline and try to submit receipts for your own expenses, it’s much harder to get reimbursement. You’ll need to prove why the offered items were unsuitable, which is tricky.

Challenges You Might Face

Unfortunately, it’s not always smooth sailing for United reimbursements. The airline often pushes back, whether they’re right or wrong. Here are the most common challenges you might run into:

  • Force majeure – United’s Customer Commitment clearly states that reimbursement for hotels, transportation, and refreshments is only for disruptions within their control, like staffing shortages or aircraft issues. If it’s outside their control, like weather, it’s referred to as “force majeure.”
  • Delay isn’t long enough – Meals are only covered if the disruption is more than 3 hours, and hotels and transportation are typically eligible when you’re delayed overnight. So, if you purchase these items too soon, the claim could be denied.
  • Partial reimbursements – The key is reasonable expenses. If United deems the expenses unreasonable, they may only pay part of what you’re claiming. Also, seeking prior approval (in writing) for the expenses is essential.
  • Codeshares – If your flight was a codeshare, you might be claiming with the wrong airline. For example, if you purchased your flight from Paris to New York through Air France, but the flight is actually operated by United, you file a United Airlines reimbursement claim, not an Air France one.
  • Claim delays – Don’t give up and be prepared to follow up. United may ignore your request or take weeks just to reply. On average, United reimbursement claims are completed within 4 weeks. The DOT requires acknowledgement of the query within 30 days and resolution within 60 days.

To get reimbursed, passengers need to show three things: the airline caused the disruption, the expenses were necessary, and they can prove those costs with proper receipts. The more organized your claim is, the better your odds.

United Reimbursement Scenarios

Let’s put all this into perspective with real-life examples of the impact of flight cancellation – the most common reimbursement cause: 

Change in Airports

United flight 967, traveling from Naples to Newark Liberty, was canceled due to technical issues. The only available replacement flight departed from Rome the following day. 

Because the disruption was United’s responsibility, AirAdvisor got the airline to reimburse the passengers for a total of €277.53 (approximately US$320) for:

  • The one-night hotel stay in Rome.
  • The transportation from Naples to Rome.
  • Meals during the overnight interruption.

A mechanical failure on the aircraft for flight UA 981 from Dublin to Chicago caused a significant disruption for two passengers. They were forced to stay overnight in Dublin and catch an available flight to Washington, DC, the following day. That flight was delayed, causing a missed connection in Houston (final destination was Shreveport, LA).

This was a significant interruption, and the passengers received a United reimbursement of €1,307.86 (approximately US$1,500) for:

  • The overnight stay in Dublin.
  • A two-night stay in Houston.
  • Meals
  • Airport/hotel transportation.

Other Notable Protections

If the airline is giving you a hard time, you may have other options.

The Montreal Convention

The Montreal Convention protects international passengers up to approximately €7,800 (US$9,000) for:

  • Expenses caused by long delays.
  • Baggage issues (lost, damaged, or delayed luggage)

Credit Cards

The US DOT does not impose any federal requirements for airlines to reimburse passengers for airport delays, but your credit card provider might be able to help.
