While waiting for your alternate flight the following day, you have to spend your own money on food, drinks, meals, and transportation. These costs quickly add up to over US$250. Luckily, these are the exact type of expenses Qantas permits when your flight is delayed, canceled, or diverted, subject to certain conditions. We’ll explore the entire Qantas reimbursement process, what situations are likely to qualify, and provide tips and examples for clarity.

Who Can Request a Qantas Reimbursement & When

Qantas passengers with flight delays or cancellations are typically eligible for expense reimbursement once they’ve been waiting at least 2 hours at the airport. Eligible expenses increase proportionately with the waiting time.

You can make a reimbursement request as long as your situation meets the following conditions:

  • The interruption, most commonly a flight cancellation, is within Qantas’ control.
  • You had to buy items in the interim that are directly related to the disruption.
  • You have receipts to back up your purchases.

Types of Valid Expenses

There are limits to the items eligible for Qantas reimbursement after a disruption or a baggage delay. In all cases, reimbursement is only possible for reasonable expenses. That means you have to forego the four-course meal and luxury hotel. Here’s what you can include in your reimbursement request:

  • Meals and non-alcoholic drinks
  • A hotel or other accommodation when delayed overnight. You must be at a destination away from home.
  • Transportation between the airport and hotel.
  • Essentials like basic toiletries and clothing when you don’t have your baggage (also away from home).

Documentation You’ll Need to Upload

To be safe, don’t throw anything flight-related away. Make sure you have all of the following:

  • The receipt for every expense you’re claiming. Receipts need to be clear and have the date, item description, and merchant details.
  • Proof of the interruption from Qantas, usually an email or text message.
  • Your boarding pass or itinerary and booking reference.
  • A timeline of events.

For example, “My booking included flight QF 12 from LAX to Sydney and then a connection from Sydney to Auckland on flight QF 9. The original leg was delayed by 2 hours, so I missed the connection. No alternate flights were possible until the following day, so I am including receipts for meals, hotel, and transportation for reimbursement.”

How to File a Reimbursement Request with Qantas

Start your reimbursement claim for out-of-pocket expenses using the Qantas online form

  1. Log in using your Frequent Flyer details or use your booking reference and last name. Alt: Login page to file a Qantas reimbursement claim.

  3. Enter the info related to the expenses and attach your receipts.
  4. Review everything and submit your request.

Alternatively, you can follow the same basic process using the form for delayed luggage.

Expect the turnaround time for your Qantas reimbursement claim to be 2 to 5 weeks for requests that are correct, straightforward, and complete. Complicated ones or those missing mandatory details, like receipts, will take longer.

When Qantas Provides a Hotel or Voucher – What to Do

As we mentioned, to qualify for reimbursement, the interruption must be controllable by Qantas. In situations where the delay is caused by a Qantas staff strike, aircraft mechanical failures, or scheduling issues, for example, reimbursement is possible if the other conditions are met.

Instead of asking passengers to pay up front and submit expenses later, Qantas may issue a voucher for refreshments or arrange complimentary accommodation and transportation. If they do this, take it and use it. Don’t pass it up in favor of booking yourself. 

When you decline a voucher or other prepaid item, getting reimbursement will become that much more difficult after the fact. Plus, since airlines often get discounted rates, you may be surprised at how little you get reimbursed.

Only when no Qantas-provided options are available should you self-book or pay for meals out of pocket. If possible, try to get it in writing that Qantas did not have prepaid options.

Challenges You Might Face

Many Qantas reimbursement claims get settled successfully, but some don’t. Here’s a list of the typical difficulties you might encounter and how best to deal:

  • Qantas denies fault – For causes like bad weather, check if other flights were operating as normal on the same route at the same time. Provide evidence.
  • Missing or unclear receipts – If your receipts aren’t detailed enough or you don’t have them, contact the merchant for a reprint. You can also use screenshots from booking apps like Airbnb and Uber to prove the purchases. Re-submit.
  • Partial reimbursement – If you’ve exceeded the allowable limits, Qantas may only partially reimburse you. Provide proof that the option you booked was the only acceptable solution at the time.
  • Wrong airline (codeshare) – Airlines often operate as codeshares, meaning companies other than the one operating the flight can sell tickets. Double-check that Qantas was the actual operating airline. If not, submit your claim to the right provider instead.
  • Flights booked separately – If your flights are on different bookings and you miss a connection, for example, it can be tricky to get Qantas to acknowledge fault. As long as Qantas operated the disrupted leg, resubmit with a clear explanation showing your missed connection and proving that the passenger details are the same.
  • Delay too short – When the delay is shorter, like less than 3 hours, but causes a missed connection, it’s still worth filing a reimbursement claim for expenses. Just be prepared to prove it was Qantas’ fault.

Let’s put what we've already learned into practice with real-life examples of passengers’ requests for reimbursement from Qantas.

Scenario 1 – Missed Onward Flight

Route: Brisbane (BNE) to Singapore (SIN) to London (LHR)

The first leg of this journey, flight QF 51, was significantly delayed and arrived 6 hours late. As a result, the passenger missed their connecting flight to London. They had to stay overnight and catch a replacement flight the following morning. Here’s what they claimed for the layover in Singapore:

  • A$190 (US$125) for a self-booked hotel.
  • A$50 (US$33) for taxi rides
  • A$30 (US$20) for a late dinner

The claim was successfully processed in 21 days, and the passenger received a full Qantas reimbursement for A$270 (US$178).

Scenario 2 – Flight Cancellation

Route: Sydney (SYD) to Los Angeles (LAX)

A couple was supposed to travel home to LAX on flight QF 4111. Unexpectedly, Qantas canceled the flight due to mechanical problems with the aircraft. The couple was able to get booked on the same flight departing the following day. With a total delay time of 24 hours, they claimed:

  • A$120 (US$78) for meals
  • A$195 (US$127) for a hotel
  • A$45 (US$29.50) for Uber rides to and from the hotel

Montreal Convention

As long as your flight is an international one, the Montreal Convention can provide coverage for up to approximately US$9,000 (SDR 6,303, which are Special Drawing Rights) for delay-related expenses.

In the case of delayed, lost, or damaged luggage, the Montreal Conventional also has protection for up to US$2,080 (SDR 1,519).

Your Credit Card

When you book a Qantas flight with your credit card, it may have built-in protection for trip disruption and delayed baggage. As soon as you find out about the interruption, contact your credit card company to discuss your options.
