KLM flight delay compensation and refund

Compensation for delayed, canceled flight or denied boarding: KLM

You can apply for compensation in the following cases:

  • Your KLM flight has been cancelled or delayed for more than 3 hours.
  • Your flight has been cancelled or delayed not due to extraordinary circumstances such as severe weather conditions, political instability or a strike by third parties.
  • Compensation for flight cancellations or check-in

You can apply for compensation from KLM in the following cases:

  • More tickets have been sold for your KLM flight than there were seats, which prevents you from boarding the flight.
  • You have incurred unforeseen expenses during your trip, such as telephone costs or lunch.

Compensation value 

  • Flights with a range of no more than 1500 km - 250 euros;
  • Flights within the European Union with a range of more than 1500 and all the other flights from 1,500 miles away up to 3500 km - 400 euros; 
  • Flights that are not falling into the upper two cases - 600 euros.

Compensation for flight delays

  • You can contact KLM Customer Service to request compensation if you are:
  • Your flight has been delayed for more than 3 hours.
  • Your itinerary started, ended or passed through a destination in Europe.
  • Your flight was not delayed due to extraordinary circumstances such as severe weather conditions, political instability or a strike by third parties, but for other reasons.

To process your request, provide the following information:

  • Code numbers of all complaints filed earlier.
  • If you have been re-registered for an alternative flight, enter your flight number and date.
  • Whether you have applied for compensation before.

Value of compensation is the same as in case of a cancelled flight.

Delayed, lost or damaged luggage

Claim for delayed luggage

If you find that your baggage has not arrived in the baggage claim area at the airport, you should go immediately to the Baggage Handling Department in the airport's customs area.  

Your baggage claim will be checked in at the Baggage Handling Department, and you will receive a Baggage Irregularity Report (PIR) with your personal registration number. You will need this number to check the status of your delayed baggage. As soon as your luggage is found, KLM will contact you to arrange the delivery of your luggage.  

When you check-in your baggage before departure, you must be given baggage tags for each piece of baggage. Be sure to keep these tags until your baggage is collected. 

Damaged luggage

Company is not liable for minor damages that happened as a result of standard luggage transportation procedures.  

If you find any other damage to your luggage that is more serious, you must report it to the Baggage Services Department immediately upon arrival at the airport. If you discover damage after leaving the airport, you can submit a claim to KLM Customer Service within 7 days of arrival in writing or by e-mail. 

Reimbursement

If your luggage is lost, damaged or missing, you can contact KLM Service to request reimbursement and/or compensation.  

You should consider the following conditions

  • If you wish to claim reimbursement for the costs of delaying your luggage, you must notify KLM within 21 days of the date of delivery of your luggage.
  • If the delayed baggage is damaged, you must report the damage within 7 days from the date of delivery.
  • KLM Airlines recommend contacting your insurance company because most they cover losses based on the value of the property.

KLM Roya Dutch Airline (Koninklijke Luchtvaart Maatschappij N.V.) is the flag carrier airline of Netherlands, with headquarter in Amstelveen. Checked baggage allowance

Economy Class on European and intercontinental flights

  • One piece of checked baggage: not more than 158 cm (L + W + H) and 23 kg.
  • Flying Blue Silver, Gold and Platinum members, as well as SkyTeam Elite and Elite Plus members, can carry one additional piece of checked baggage of the same size and weight as on SkyTeam flights.

Business Class on European and intercontinental flights

  • Two pieces of checked baggage: each no more than 158 cm (L + W + H) and 32 kg.
  • Flying Blue Silver, Gold and Platinum members, as well as SkyTeam Elite and Elite Plus members, can carry one additional piece of checked baggage of the same size and weight as on SkyTeam flights. 
  • Baggage whose packaging or shape may damage or block the baggage handling system, e.g. baggage packed with foodstuff film or spherical baggage, will not be accepted at check-in. Professional sealing is permitted if it does not interfere with the handling of the luggage.
  • If you purchased a Business Class upgrade at check-in or at a self-service kiosk, the new Class baggage allowance applies.
  • The dimensions of your luggage are specified about the size of handles and wheels.
  • Additional baggage items can be purchased online at least 24 hours before departure.
  • Flying Blue Explorer members receive a discount of up to €10 per extra piece of checked baggage when travelling in Economy Class on Air France and KLM flights worldwide when booking at least 24 hours before departure.

Baggage for children

Children and infants travelling on individual booked seats can carry the same amount of hand baggage and check-in baggage as adult passengers. 

For a child under two years of age who will be travelling on your lap, you can take with you: 

  • One piece of hand luggage containing baby care items weighing less than 12 kg (26 lbs) and measuring less than 55 x 35 x 25 cm (22 x 14 x 10 inches);
  • One piece of check-in baggage weighing no more than 10 kg (22 lbs); 

The Light fare does not include check-in baggage for children under two years of age on flights to and from the United States or Canada.

Luggage and the connecting flight

If your ticket includes a connecting flight and the connecting time is less than 24 hours, the checked-in baggage is usually sent to the final destination. The baggage tag that you will receive at check-in will indicate the final destination of your baggage. 

You will need to collect your baggage and check it in again for the connecting flight at the time of the transfer if:

  • You have purchased 2 or more tickets from different airlines with different conditions of carriage;
  • You transfer from an intercontinental to a domestic flight;
  • You arrive at one airport, and the next flight departs from another airport;
  • Your itinerary includes a bus or train ride;

Flight booking

KLM passengers can book a flight through four methods: online, via social media, call-centre and KLM's ticket offices.

Online booking

You can book a flight 11 months before departure. All you need is a personal computer, tablet or mobile phone.

Benefits of online booking

  • You have access to all flights, offers and flights operated by KLM's flights, just from your device;
  • You can book a one-way trip and later easily select when you want to fly back;
  • All your data can be automatically filled, when you make a booking, just create an account.
  • Passengers can choose their seats, for more comfort. With option Meet & Seat, you can see who will be on board.
  • Discount for extra luggage;
  • You can order a special meal;
  • For flights in Europe, with Light or Standard ticket, you have an option called Flexibility. That will allow you to change time, date or even destination of your flight, for three times with no tax.
  • CO2 emission flight compensation and take out travel or cancellation insurance.

Safety and privacy of online booking

All personal information and your credit card details are encrypted and sent using most modern technologies. Also, the company has strict agreements with partners that provide you with additional services and preferences on our behalf.

Online booking children's ticket

You also can book a ticket online for your children, but you should make the booking through KLM Customer Contact Centre in case you want to bring more than one child under the age of 2 years, per adult.

Children aged 14 years and younger can only travel with a parent or guardian at the age of 18 or older. They can fly alone if you choose the "Unaccompanied Minor Service". To order this service, also, you should contact the company's Support Service.

Other ways to book your ticket

In addition to the site, KLM provides personal assistance in tickets booking, but you might have to pay more money because fees are slightly higher.

  • Through social media: direct Facebook and Twitter messages to KLM's page or you can post in the company's feed. 
  • Through KLM Support: you need to call at a local number.
  • At the KLM ticket office.

After booking flight

As soon as your booking is made, you will be automatically logged in to the "My Trip" section, where you will find all your travel details and personal information, you will be able as well to provide essential data and additional services:

  • change dates and/or time of flight;
  • choose a seat, get more comfortable and find out who else will be among the passengers on your trip;
  • book your luggage or extra luggage at a discount and order special meals;
  • enter your contact details and Advance Passenger Information (API).

With the booking code in your confirmation e-mail, you can access My Trip whenever you want.

Payment methods

You can choose one of several ways to pay for your flight reservation and additional services, like seats or extra luggage, depending on the country and time of booking. Whichever way you choose, you can be sure that the payment will be made safely.

Per country

When booking tickets or purchasing additional services through KLM's website, they offer different payment methods for each country. Some countries charge an additional fee.

Through credit card

If you use a credit or debit card to make a reservation online, a few days after booking amount that was necessary for your purchase will be debited from your bank account. The bank only blocks this amount until KLM processes your payment and only then will the funds be finally debited from your account. The process can take up to 30 days.

Internet banking

Internet banking allows you to buy tickets online safely and efficiently, and you can also pay with this method at least two hours before your flight. Available payment services: iDEAL, FPX, CUP Online, Nordea, eNets, POLi and Sofort. Payment via RTOB at KLM's website is free of charge.

Once you selected the flight, choose the payment method that is acceptable for your country. Select your bank and enter all required information. Once the payment is confirmed, the amount will be debited from your account. After the bank informs KLM that the payment has been made, they will send you an e-mail ticket. This process usually takes less than 1 hour in most countries.

E-Wallet

With the E-Wallet, you can combine different payment methods, such as credit card and bank account, and pay with a single digital wallet.

  • PayPal: Accepted online in nearly 40 countries, except American Express cards.
  • WeChat Pay is available only in China.
  • Alipay - for China and Hong Kong.

Before you decide to pay, make sure that you can pay the full price of the ticket through your E-Wallet, because some e-wallets limit the amount of money you can use per transaction.

Bank transfer

You can pay by bank transfer if the time between the booking and departure is at least 14 days. If you choose a bank transfer, you will be asked to enter some personal data, but don't worry, KLM treats all information as confidential. Upon completion of your booking, you will receive a payment code. This code consists of 12 digits and is used to match the payment made with the desired booking. Is very important to enter this number accurately when making a transfer.

Cash or PIN payment

You can pay in cash or by bank card with PIN code after making the booking online. In this case, you pay and receive your ticket at one of the KLM ticket offices. There is usually no fee for cash payments or PIN payments but can make this procedure just in the Netherlands.

If you would like to pay at the ticket office, please bring with you the booking confirmation or booking code received by e-mail. Don't forget that not all KLM offices accept cash payment.

About check-in

You can check-in for your flight in several ways:

On KLM's site

Online registration is available from 30 hours before departure, except flights from the U.S. where you can check-in starting with 24 hours before the trip.

  1. Click on the check-in button and follow the instructions.
  2. Choose additional services, if you want.
  3. Get a valid electronic boarding pass.
  4. If necessary, print the boarding pass through a self-service kiosk or at the airport check-in counter.
  5. If boarding pass is not available, you will need to print your confirmation of check-in and exchange it at the airport for a boarding pass.

Check-in online is not always possible. The exceptions are the following cases:

  • If there is no online check-in service or self-service kiosks at the airport;
  • If you have applied for special assistance but you are not accompanied by the person of 15 years or older whose name appears on the same booking;
  • If you have booked a KLM ticket with a route that starts with a train ride from Brussels South Station or Antwerp Central Station to Amsterdam Airport Schiphol.

Via KLM App

You can install the KLM app through the App Store on iOS or Google Play on Android. After you installed the app, follow the next steps:

  1. Click on the registration button to log in.
  2. Choose a standard seat, an extra comfortable seat, a special meal or excess luggage.
  3. Get a valid (electronic) boarding pass.
  4. Receive notification of flight delays, gate changes and other flight information.
  5. Check your Flying Blue status.

Self-service kiosk

You can check-in at least two hours before departure in most cases, except Amsterdam Airport Schiphol, that allows passing the procedure just in the day of the flight.

Steps to follow:

  1. Enter your passport details, loyalty card number or booking code.
  2. Choose a standard seat, special meal or extra luggage.
  3. Pay for upgrades with a credit card, if you want.
  4. Print your boarding pass at a self-service kiosk.

Check-in desk

You can check-in in the airport from 2 hours to 40 minutes before departure, for European flights and from 3 hours to 60 minutes before departure, for intercontinental flights.

In some cases, you can only check-in at the airport counter. The company recommends arriving at the airport in advance because this may take some time and you will avoid a denied boarding. Check-in at the counter is required in the following cases:

  • If there is no online check-in service or self-service kiosks at the airport;
  • If you have applied for special assistance but you are not accompanied by the person of 15 years or older whose name appears on the same booking;
  • If you have booked a KLM ticket with a route that starts with a train ride from Brussels South Station or Antwerp Central Station to Amsterdam Airport Schiphol.
  • If you are travelling with pets, KLM recommends you to arrive at the check-in desk 3 hours before departure with all the necessary completed forms.

SkyPriority Check-in

SkyPriority services are available to First and Business Class passengers, Flying Blue Gold and Platinum members and SkyTeam Elite Plus members. With this service, you can check-in from 2 hours to 40 minutes before departure, for European flights, and from 3 to 1 hour before departure, for international flights.

If you want to cancel your check-in

You can cancel your check-in between 30 hours and 1 hour before departure and from 24 hours to 1 hour before departure, for flights in the United States. If you want to change your flight, you must cancel your check-in first.

Meals on board

Economy class on intercontinental flights

During the flight, KLM will offer you a choice of meals, including a hot meal, a large portion of salad and dessert. Meals may vary from flight to flight depending on the time of day and duration of the flight. Between meals, snacks, ice cream or sandwich are served. You can also ask the crew for extra snacks at any time.

Drinks

In addition to meals, we offer hot and cold drinks (alcoholic and non-alcoholic), including organic coffee and tea, soft drinks, fruit juices, beer and wine. Throughout the flight, you can request an extra drink from the onboard kitchen.

Choice menu

The optional menu is not available temporarily. However, on intercontinental flights, you will have access to a wide range of meals included in the ticket price.

World Business Class

Passengers on intercontinental KLM flights, even before departure, are provided with the best possible service. They welcome passengers on board with a glass of champagne or fruit juice.

Meals

Passengers can enjoy a meal of first-class Dutch chef Johnny Boer. The food is served in dishes designed by Dutch designer Marcel Wanders. You can create your menu from the available options:

  • Cold snack or vegetarian soup.
  • Several main courses are available depending on the time of day.
  • Several sweet desserts to choose from, fresh fruit and a selection of cheeses served with a glass of port or dessert wine.

The airline regularly updates our menu and use only the best ingredients. On KLM flights arriving in the early morning hours, you can enjoy a breakfast of your choice. They offer sweet or standard breakfast, yoghurt, muesli as well as various types of bread and fruit.

Service "Anytime for you."

With the service "Anytime for you" you will enjoy an unforgettable gastronomic experience. You can decide for yourself what and when to order during the flight. The airline will offer you an exquisite restaurant menu, and dishes will be served individually at a time suitable for you.

In addition to the main menu of 3 freshly prepared dishes, KLM offers 5 special dishes to choose from on request. You can order these dishes as an addition to or instead of the standard meal.

The "Anytime for You" service and menus are available on request in World Business Class on the following routes:

European Business Class

If you are travelling in Europe, you can enjoy the delicious dishes prepared by first-class Dutch chefs. Meals are served in dishes and cutlery designed by Marcel Wanders.

The airline provides with cold meals on all KLM Cityhopper flights and all KLM flights of less than 120 minutes. Depending on the time of day, they offer a selection of fresh sandwiches or salads as a main course as well as organic yoghurt, snacks and/or dessert.

Drinks

On KLM flights across Europe, traditionally is offered a wide range of beverages, from non-alcoholic and fresh juices to beer and mineral water.

Infants aged 1 year or younger

If your child is 1 year old or younger, he or she must travel on your lap on round-trip flights. Each adult passenger can travel with 2 infants, but only 1 infant can travel on the adult lap, without a separate seat. For a second infant, an additional seat must be reserved.

Unaccompanied children

Your child is between the ages of 5 and 14 and travels alone or in another class as a parent or accompanying adult, and needs the Unaccompanied Minor Service.

For children aged 15 to 17 years old inclusive, the use of this service is not mandatory. If you choose not to book the Unaccompanied Minor service, your child will be subject to the same rules as adult passengers. In the event of flight delays or cancellations, your child may inform KLM of his or her age and that he or she needs assistance and will be happy to assist him or her. However, to get all the support you need in case of flight problems, we strongly recommend that you book the service for unaccompanied children.

During the flight

Nutrition

For children aged 2 years and over, KLM offers special meals for children on intercontinental flights at no extra charge. Bookings must be made at least 24 hours before departure when making the booking or under the heading "My Trip". Meals for children will be a real feast - with mini hammers and French fries. The menus may vary depending on the flight, but each children' meal box will necessarily carry the Bluey logo, as well as an exciting adventure game and a young pilot's diploma.

If you are travelling with an infant, the airline recommends that you bring your infant food. Liquid transport restrictions do not apply to baby food. On intercontinental KLM flights, they have only a few special infant food sets. These are free of charge and do not need to be booked in advance. Every small passenger between the age of a newborn and 2 years old receives a free Bluey breastplate.

Entertainment

Onboard intercontinental KLM flights, all children over 2 years of age receive a Bluey gaming kit that includes a memory game and a zero-crossing game, as well as pencils, a lanyard, a card game, a sticker, a luggage tag and much more. The Bluey Eye Mask will help your child to restfully during the flight. On European flights, your child receives a Bluey passport cover and a workbook with exciting assignments.

On intercontinental KLM flights, each seat is equipped with an in-flight entertainment system. From movies to games, children will find the flight too short to try all the fun activities.

On European and intercontinental KLM flights, is allowed the use of various types of electronic devices, such as handheld games and tablets. You need to put your device on stand-alone mode or turn off cellular service and use headphones if necessary.

Special assistance from KLM CARES

Contact KLM CARES 48 hours before departure if:

  • You need special assistance at the airport during boarding, disembarkation, transfer or when travelling inside the airport;
  • You take your electric or mechanical wheelchair on board;
  • You carry special medical equipment in your hand luggage or check-in baggage, even if you do not intend to use it on board;
  • You will need to bring a guide dog in the cabin;
  • Your leg must remain in a horizontal position (in plaster) for medical reasons.

Take your wheelchair free of charge by registering at least 48 hours before your flight.

Types of wheelchair are allowed

  • A detachable wheelchair can be taken as carry-on baggage if its dimensions do not exceed 33x92x107 cm (13x36x42 inches).
  • Other types of seats are carried in checked baggage. After check-in, you can use one of the seats at the airport.

Onboard facilities

  • Folding wheelchair: available onboard all KLM and KLM Cityhopper aircraft.
  • Toilets: toilets equipped for wheelchair users.
  • Handles in the toilet: The toilets on board all KLM aircraft are equipped with special handles.
  • Movable handles: all KLM planes have seats at the aisle or in the middle of the row that are equipped with mobile handles

How to arrange the transportation of an animal

Always make a separate reservation for your pet via KLM Support. Book your pet immediately after purchasing your ticket, but no later than 48 hours before departure.

Animals in the cabin

In Economy Class, on most KLM flights and in Business Class, it is possible to carry a cat or dog on most KLM flights within Europe. The following requirements must be met:

  • Your cat or dog must be at least 10 weeks old.
  • The pet must be transported in a special travel cage with dimensions not exceeding 46 x 28 x 24 cm (L x W x H). The cage must be large enough to allow the pet to stand up and lie down freely.
  • The total weight of the animal and the travel cage/booth must not exceed 8 kg.
  • You should place the cage under the chair in front of you (so there is no room in the emergency exit rows). It is forbidden to take your pet out of the bag or cage during the flight.

There are a limited number of cage places available in the cabin. Unfortunately, pets are not allowed in business class on intercontinental KLM flights because there is not enough room for your pet under the seat in front of you.

  • Bringing animals into the luggage compartment

You can transport a cat or dog in the luggage compartment with ventilation on all KLM flights. The following requirements must be met.

  • Your cat or dog must be at least 10 weeks old.
  • Animals must be transported in a cage that complies with the rules of the International Air Transport Association (IATA) (e.g. Sky and Vari cages). Read the exact cage rules for your pet below.
  • The total weight of your pet and cage should not exceed 75 kg.
  • Two adult animals of approximately the same size, not aggressive towards each other, weighing up to 14 kg each, maybe in the same cage. The rule also applies to 3 animals under 6 months of age from one litter weighing up to 14 kg each.

KLM will not provide food or water for animals travelling in the hold during the flight.

Animals with an upturned nose, such as pug, boxer, bulldog, Pekinese and Persian cats, may have difficulty breathing during the flight due to high temperatures and stress. For health reasons, the majority of animals with an upturned nose are not allowed in the luggage compartment. However, they are allowed in the cabin or as cargo. English and French bulldogs, Boston terriers and pugs can only be carried in the cabin.

Entertainment onboard

  • Wi-Fi onboard: now you can stay in touch with friends and family, check your mail and listen to your favourite music on board.
  • Use your electronic devices: A variety of portable electronic devices can be used on all KLM flights, like smartphones, tablets, electronic reading devices, multimedia players, radio, cameras, headphones, portable gaming devices and pagers.
  • Entertainment during the flight: KLM offers passengers more than 1,000 hours of interactive entertainment in different languages throughout their stay (movies, T.V. shows, a lot of music albums, a special channel for kids and games).

Flying Blue program

Flying Blue is Mile accumulation program: the more Miles you have, the more benefits you get. You earn Miles for almost all transactions and can spend them on all available services. Earning XP (Experience Points) for flights takes you to higher levels. Each new level offers even more generous rewards and even more Miles.

You earn Miles for every flight you make. Also, you can earn more Miles for hotel accommodation, car rental and payment card usage, if these services are program partners. Miles are valid indefinitely if you take at least one eligible flight every 2 years.
